What an access control system includes
Access control systems are a door hardware project wearing a software costume. The software demo is what gets sold; the list below is what gets installed, and it is where quotes diverge.
- Door controller panels, sized by door count with room to grow
- Readers at each controlled opening: card, fob, keypad, mobile, or biometric
- Electrified door hardware: strikes, maglocks, or electrified mortise locks
- Request-to-exit devices and door position switches, so the system knows a door's real state
- Power supplies with battery backup, because a dead controller is a locked or unlocked building
- Management software, on-premise or cloud, with per-user permissions and schedules
- Credential issuance and, more importantly, a revocation process that actually gets used
- Audit log retention, so 'who opened that door at 2 a.m.' has an answer
- Integration to alarm and video, so a forced-door event pulls up the clip
Credentials
What people carry, and what it costs you later
The credential decision looks small at purchase and governs your recurring cost, your replacement process, and your exposure to cloning for the next decade.
Proximity card or fob
The default for 20 years. Cheap per credential, easy to issue, and easy to clone if the system rides legacy protocols.
Smart card
Encrypted credentials that resist the cloning attacks older prox cards do not. The sensible baseline for new installs.
Mobile credential
The phone is the badge. No plastic to reorder, instant revocation, and usually a per-user subscription attached.
PIN keypad
No credential to lose and no credential to prove who it was. Fine as a second factor, weak as the only one.
Biometric
Strong identity binding at a real hardware premium. Worth it at a handful of high-value doors, rarely worth it building-wide.

Access control is the one system that prices cleanly per opening, which makes it the easiest to compare honestly and the easiest to hide labor inside. Ask for a per-door breakdown, not a project total.

Six questions, two of which are life safety
Most access control buying advice is about features. The first two items here are about not creating a code violation or trapping someone, which outrank every feature on the list.
Fail-safe and fail-secure are a code question, not a preference
Fail-secure hardware stays locked when power drops; fail-safe unlocks. Both terms describe the outside of the door, and in nearly every configuration the egress side still allows free exit either way. Where it stops being a preference is fire doors: NFPA 80 requires electric strikes on fire door assemblies to be fail-secure and listed for that use. Get this specified by someone who knows your local code.
Every egress door must still open with one motion
NFPA 101 is built around not trapping people. Doors in a means of egress have to be operable from the inside with one motion, without a key, tool, or special knowledge. Where locked egress doors are permitted at all, extra requirements come with them. If a bidder proposes something that complicates exiting, that is your signal to get the AHJ involved before you buy it.
Ask whether the readers speak OSDP or Wiegand
Wiegand is the legacy protocol: one-way, unencrypted, transmitted in plain text, and vulnerable to interception and replay. OSDP adds AES-128 encryption, two-way communication, and supervision that tells you when a reader is tampered with or disconnected. If you are buying a system in 2026, buying Wiegand is buying a known weakness.

Cloud access control shifts cost into a per-door monthly fee, commonly $3.50 to $15 per door. Over five years on 20 doors that is real money, and it may still be the right answer for the remote management. What you cannot do is compare an on-premise quote to a cloud quote on install price alone.
Test the revocation path before you need it
The entire value of access control over keys is that you can turn off one person's access in seconds. Ask exactly how that works on a Friday at 6 p.m.: who can do it, from where, and does it need the vendor. A system where only the integrator can revoke a badge is barely better than a key.
Confirm you can export your own audit log
Door logs are evidence in an HR dispute, an insurance claim, or an investigation. Confirm how long logs are retained, whether that is configurable, and that you can export them yourself in a format someone else will accept.

What is an access control system?
A system that replaces keys with credentials the building can track and revoke. Readers at controlled doors check a card, fob, phone or PIN against a controller, the controller releases the lock if the permissions and schedule allow it, and every attempt is logged. The practical difference from a lock is not security at the door, it is administration: you can turn off one person's access in seconds without rekeying, and you can answer who opened which door and when. Access control systems for commercial buildings also have to satisfy fire-egress code, which is where most of the design judgement actually goes.

What does access control system installation involve?
A site walk first, opening by opening, because the door decides the work. Then controllers and power supplies get mounted and wired, cable is pulled to each reader and lock, electrified hardware is fitted to the door, request-to-exit and door position devices go in, and the system is programmed with users, schedules, and permissions. Expect the physical installation on a straightforward door to take a few hours and a difficult one to take most of a day. Budget time for the part nobody schedules: getting your user list and access groups right before go-live.
Why do some doors cost so much more than others?
Because the door, not the reader, sets the labor. Hollow metal frames in ordinary commercial space are straightforward to wire and land at the low end. Glass storefront doors, historic buildings, and pre-poured concrete structures raise labor time substantially, since there is no easy path to run cable and the hardware often has to be custom fitted. When you compare quotes, compare them door by door, not as an average.
What is the difference between OSDP and Wiegand?
They are the languages a reader uses to talk to the controller. Wiegand is the legacy standard: one-way, unencrypted, and sent in plain text, which makes credential data interceptable and replayable by anyone with basic tools. OSDP adds AES-128 encryption, bidirectional communication, and supervision, so the panel can detect a tampered or disconnected reader and support modern credentials including biometrics and multi-factor. For a new commercial install, OSDP should be the default and you should ask explicitly.
What is the difference between fail-safe and fail-secure locks?
It describes what the lock does when power is lost. Fail-secure hardware stays locked without power, so you need power to let someone in. Fail-safe hardware, including magnetic locks, needs constant power to stay locked and releases when power drops. Both describe the secure side of the door. In almost every configuration the egress side still allows free exit either way, because the lever or panic hardware works independently of the strike. On fire door assemblies, NFPA 80 requires fail-secure strikes listed for that use.
Can access control lock down a building in an emergency?
Yes, and lockdown is one of the strongest reasons schools and clinics buy access control at all. The important constraint is that lockdown secures a building from the outside without preventing people inside from leaving. Any design that would trap occupants is a life safety problem, not a security feature. Get lockdown behavior demonstrated on real doors and reviewed against your local egress requirements before it goes live.
Can I keep my existing doors and locks?
Often partially. Existing door frames, closers, and panic hardware can frequently stay, with the electrified components added to them. What usually cannot carry over is the credential technology, since old proximity formats are the part with known cloning weaknesses.
